Painting supplies schedule of rates template

A painter buys paint and sundries on a trade account and hires access equipment by the day. Paint is priced per tin, by product, sheen, base and tin size, usually as a discount off the list price. A schedule of rates puts the net price of what you buy every week in writing, so each invoice can be checked line by line.

Free, with no account and no email. Item names and units are filled in; the rates are left blank for you and your supplier.

Common items for the trade, not a recommendation. The rates are yours and your supplier's to agree.

Keep the unit the supplier bills in: CostCode checks the unit on each invoice line against the one agreed. A line billed in a unit that measures something else (per each where you agreed per metre, per tonne where you agreed per cubic metre) is held; one it can't compare, such as per day against per week, is left for a person to confirm, never converted.

Delete the rows you don't buy and add your own under them. Keep the first row as it is: it's how CostCode's importer knows which column is which, so there's nothing to match up by hand when you load it.

Charges painting suppliers add on top

  • Delivery of paint and sundries
  • Delivery and pick-up of hired access equipment
  • Small-order fee
  • Card surcharge

These aren't rows in the file. Agree them with the rates and record each as a charge agreement on the supplier in CostCode, where charge lines are checked against them. Why charges are kept apart

Where these invoices usually go wrong

  • Paint above your trade price per tinChecked
  • The colour on the line instead of the productChecked
  • A tin priced each, billed per litreChecked
  • Sundries by the pack against a price eachAsks you first
  • A merchant that bills at list and pays a rebate laterChecked, for you only

What CostCode does about each, with a worked example: Invoice checking for painters

Filling it in and loading it

Paint is priced by the base a colour is tinted into (white, light, mid, deep or accent) and by tin size, not by the colour's name, but the invoice line often names the colour. Ask the supplier to put their product code in each row: an invoice line carrying the same code is matched to the row by the code, whatever colour it names.

Paint is billed by the tin, so rate it per tin, not per litre, with one row per size. A 15 L tin and a 4 L tin of the same paint are two prices.

The access equipment rows are day rates. If your hire company bills by the week, change the unit to week: one rate per item, the one you're billed on.

Fill in the items, send the file to the supplier to put in or confirm the rates, and load it into CostCode with the date it applies from.
