Checking landscape supply invoices
Landscape supply invoices are short, but the units do a lot of work: soil and mulch by the cubic metre or the tonne, turf by the square metre, rock by the tonne, and a delivery fee on most loads.
Who you buy from, and how it's billed
A unit that changes, or a delivery fee above the one you agreed, is easy to pay without noticing.
- Landscape and garden suppliers
- Soils, mulches, sands and gravels by the cubic metre or the tonne, loose or in bulk bags.
- Turf farms
- Turf by the square metre, sometimes with a minimum order and a delivery fee.
- Stone and paving
- Rock by the tonne, pavers by the square metre, edging by the lineal metre or each.
- Nurseries
- Plants each, priced by pot size.
- Irrigation and hire
- Poly pipe by the coil or the metre, fittings each, and mini loaders or turf cutters by the hour or day.
What CostCode checks, and from when
Anything it can't check yet shows as Unverified, with the reason. It's never marked as fine. Why a line is unverified
From your first invoice
The same invoice twice, GST over ten per cent, or no ABN on a tax invoice.
One delivery docket on two invoices
Checked, for you onlyWhere the docket number is printed on the line, a docket already billed on an earlier invoice from the same supplier holds the invoice for you to look at. It's never put to the supplier: a credit and a re-issue carry the same docket too.
Once a supplier has billed you a few times
A price up on what you've paid before
Checked, for you onlyFor an item with no agreed price, once there are three earlier prices for it from the supplier, a price up on them holds the invoice for you. What you've paid before is never put to the supplier.
Once your prices are in
Import each supplier's price list from a spreadsheet or a PDF, or let CostCode suggest one from invoices you've already uploaded, for you to confirm.
Soil or mulch billed per tonne when you agreed per cubic metre
CheckedHeld as billed in a different unit, with both shown. CostCode doesn't convert: what a cubic metre weighs depends on the product and how wet it is.Turf above the agreed price per square metre
CheckedEach line against the price list in force on the invoice date.Turf billed per roll when you agreed per square metre
CheckedA roll against a price per square metre is held as billed in a different unit. A unit CostCode doesn't recognise, like a slab, shows as Unverified rather than a guess at its size.Delivery fees above what you agreed
CheckedChecked against the delivery charge you agreed, flat or as a share of the goods. Several deliveries on one line are compared per delivery, and the number of deliveries is yours to confirm.Minimum-order fees
CheckedChecked against the fee you agreed. With nothing agreed, the line shows as Unverified, with the reason.

Billed per tonne against a price agreed per cubic metre: held as billed in a different unit, with no dollar figure.
What a cubic metre of soil weighs depends on the mix and how wet it is, so the tonnes on the docket don't tell you the cubic metres you agreed to pay for. CostCode shows both units and leaves the question to you.
What CostCode doesn't check
- The cubic metres or tonnes delivered against what you ordered or spread on site.
- Weighbridge tickets against the tonnes billed.
- Whether plants or turf arrived in good condition.
Questions
The supplier quotes soil per cubic metre but invoices in tonnes. Can CostCode convert it?
No, on purpose: what a cubic metre of soil or mulch weighs changes with the product and how wet it is. The line is held as billed in a different unit, with both shown, for you to take up with the supplier if you want to.
We don't have price lists from our suppliers. What can CostCode check?
The free check works on any invoice: the arithmetic, the GST and the ABN. With an account, CostCode can suggest prices from invoices you've already paid, for you to tick, and once there are three earlier prices for an item, a price up on them holds the invoice for you. What you've paid before is never quoted to the supplier, and a suggested price only once they've confirmed it.
Does it check delivery fees?
Yes, against the delivery charge you agreed with each supplier: a flat fee or a share of the goods. With no agreed charge, the line shows as Unverified, with the reason.
