Checking glass and glazing supplier invoices

A glass merchant prices per square metre, by type and thickness, then adds edge work by the metre, holes and cut-outs each, and often a minimum area for a small pane.

Who you buy from, and how it's billed

Aluminium comes by the length and sealants by the cartridge. A price per pane, where you agreed one per square metre, hides the glass, the edge work and the cut-outs in one number.

Glass merchants and processors
Float, toughened, laminated, low-E and double glazed glass cut to size, priced per square metre by type and thickness, often with a minimum area per pane.
Glass processing
Edge work by the lineal metre, and holes, cut-outs and notches each.
Aluminium suppliers
Window and door sections and glazing beads by the length, priced by profile and finish.
Sealants, tapes and gaskets
Silicone by the cartridge or the sausage, glazing tape by the roll, wedge gaskets by the metre, and setting blocks by the pack.
Hardware and hire
Balustrade spigots, hinges and patch fittings each, and glass lifters by the day.

What CostCode checks, and from when

Anything it can't check yet shows as Unverified, with the reason. It's never marked as fine. Why a line is unverified

  1. From your first invoice

GST over ten per cent or no ABN on a tax invoice.

    • The same invoice sent twice

      Checked
The same file again, or the same merchant and invoice number, holds the invoice before you pay it twice.
  2. Once a supplier has billed you a few times

A price up on what you've paid before, once there are three earlier prices. Kept between you and CostCode.

  3. Once your prices are in

Import each supplier's price list from a spreadsheet or a PDF, or let CostCode suggest one from invoices you've already uploaded, for you to confirm.

    • Glass above the agreed price per square metre

      Checked
Each line against the price list in force on the invoice date, and held when it's at least $25 and 3% over. Each type and thickness is its own item on your price list.
    • Glass billed per pane when you agreed per square metre

      Checked
Billed per each against a price per square metre, the line is held as billed in a different unit, with both shown. CostCode doesn't work out the area of a pane.
    • Edge work, holes and cut-outs above the agreed rate

      Checked
Put them on the price list as items, per lineal metre or each, and they're checked like any line. With nothing agreed for them, the line shows as Unverified, with the reason.
    • Aluminium billed per metre when you agreed per length

      Checked
Held as billed in a different unit. A price per metre and a price per 6.5 m length are far apart, and CostCode doesn't turn one into the other.
    • Setting blocks or fixings by the pack against a price each

      Asks you first
A pack can hold any number, so the line shows as Unverified, asking how many are in one.
    • Delivery and minimum-order charges

      Checked
Checked against the charge you agreed, flat or as a share of the goods. With nothing agreed, the line shows as Unverified, with the reason.

Not sent: supplier email is off. CostCode writes the query, quoting the agreed price list, for you to copy into your own email. Nothing reaches the supplier unless someone in your team sends it.

Billed per pane against a price agreed per square metre: held as billed in a different unit, with no dollar figure.

A price per pane hides the area each pane was billed at, and any minimum area charged with it. CostCode doesn't work out the area: it holds the line with both units shown, and the lasting fix is asking the merchant to bill in square metres, the unit you agreed.

Made up: the supplier, the invoice and every price in this example are invented to show the arithmetic. They aren't market prices.

What CostCode doesn't check

  • Square metres billed against the sizes you ordered. CostCode doesn't read your order or your measure, so the area billed for each pane, and any minimum area it was billed at, is yours to check.
  • Whether the glass billed is the type and thickness specified for where it's installed.
  • Credits for broken or returned glass. A credit line isn't price-checked.

Questions

Our glass merchant agreed prices per square metre but bills per pane. What does CostCode do?

It holds the line as billed in a different unit, with the agreed unit and the billed one side by side. It doesn't work out each pane's area, so you decide whether the money is right, and nothing goes to the merchant unless someone in your team sends it.

Can edge work and holes go on the price list?

Yes, as items of their own: edge work per lineal metre, holes and cut-outs each. A line carrying the same code or wording is checked against them like any other. Without an agreed price, the line shows as Unverified, with the reason, never as fine.

Does CostCode check the minimum area charged on a small pane?

Not the area. It checks the rate per square metre on each line, and a small pane billed at a minimum area is billed at more square metres than its size. Agree the minimum with the merchant, keep it with the price list, and check the area billed against your order.
