Checking flooring and tile supplier invoices
Flooring is sold in more units than most trades buy in: carpet by the square metre or the broadloom metre off a roll, vinyl and planks by the square metre but packed by the carton, tiles the same, underlay by the roll and adhesive by the bucket.
Who you buy from, and how it's billed
The same product can be quoted in one unit and invoiced in another, and the prices in the two can be far apart.
- Flooring wholesalers
- Carpet, sheet vinyl, vinyl plank, hybrid and engineered timber, priced per square metre, or per lineal metre off a roll.
- Tile suppliers
- Floor and wall tiles priced per square metre and sold by the carton, with tile trims by the length.
- Underlay and adhesives
- Underlay by the roll, adhesive by the bucket, and levelling compound, tile adhesive and grout by the bag.
- Trims and accessories
- Reducers, stair nosings and scotia by the length, and vinyl welding rod by the roll.
- Delivery
- Delivery per drop, sometimes a small-order fee, and pallet deposits on tiles.
What CostCode checks, and from when
Anything it can't check yet shows as Unverified, with the reason. It's never marked as fine. Why a line is unverified
From your first invoice
The same invoice twice, GST over ten per cent, or no ABN on a tax invoice.
Once a supplier has billed you a few times
A price up on what you've paid before
Checked, for you onlyFor an item with no agreed price, once there are three earlier prices for it from the supplier, a price up on them holds the invoice for you. What you've paid before is never put to the supplier.
Once your prices are in
Import each supplier's price list from a spreadsheet or a PDF, or let CostCode suggest one from invoices you've already uploaded, for you to confirm.

Billed per square metre against a price agreed per broadloom metre: held as billed in a different unit, with no dollar figure.
A broadloom metre is a metre off the roll's full width, so off a roll 3.66 metres wide it's 3.66 square metres, and a price per square metre looks far cheaper than one per broadloom metre. CostCode doesn't convert between them: it holds the line with both units shown, and the sum is yours.
What CostCode doesn't check
- Square metres billed against your measure. CostCode doesn't read your measure or quote, so the square metres billed, and the waste allowed for, are yours to check.
- Whether the product, colour, dye lot or tile batch billed is the one you ordered.
- Credits for returned cartons. A credit line isn't price-checked.
Questions
Our carpet supplier quotes per broadloom metre but invoices per square metre. Can CostCode convert it?
No, on purpose: CostCode doesn't convert between units. A line billed per square metre against a price per broadloom metre, or the reverse, is held as billed in a different unit, with both shown, for you to work out and take up with the supplier if you want to.
Tiles come by the carton. How should we load their prices?
Per square metre, the way they're usually priced, and ask for them invoiced that way. A line billed per carton shows as Unverified, with the reason, because a carton isn't a unit CostCode can compare. It's never passed.
Does CostCode check the square metres we were charged for?
Not against the room: it doesn't read your measure or quote. It checks the price and the unit of each line, and a line with nothing to check against shows as Unverified, with the reason, never as fine.
