Correcting a misread
What happens when CostCode's reading of an invoice doesn't reconcile, and what you can do from the review queue.
A misread is ours, not the supplier's
Before any check runs, the lines we read are reconciled against the invoice's own totals. If they don't reconcile, we treat it as our reading being wrong, not the supplier's invoice: it goes to "Waiting on you" in the review queue, and no finding is ever raised against the supplier from it.
What you can do
Open it from the review queue, compare our lines with the original beside them, and:
- If we misread a figure, a project manager or above can correct it in the grid beside the original: each line's description, code, unit, quantity, unit price and amount, then the subtotal, GST and total. The check re-runs as you type and goes green when the lines and GST make the total. "Send on for checking" then runs the checks; if the lines still miss the total, your corrections are saved and the invoice stays in review. Your name, what changed and when go on the record, and nothing found on a corrected reading is put to the supplier.
- If the reading is right and it only lacked confidence, send it on, and the checks run straight away.
- If it isn't an invoice (a statement, a quote, a delivery docket), close it as not an invoice, with a short reason.
- If it is an invoice and someone has checked it by hand, close it as checked by hand, with a reason.
- If the file itself is the problem (a password-protected PDF, a blurred photo), upload a better copy.
