Resolving and releasing holds, and the record they leave
How a held invoice is resolved or released, who can do each, and what the audit record keeps.
Resolving the findings
A project manager or above works through a held invoice's findings: dismiss one with a reason, record the supplier's credit note against it, or mark it put right by the supplier. When every finding is settled, they clear the invoice, and their name goes on it.
Releasing a hold
An owner, admin or accounts member can release a hold without resolving it, with a typed reason of at least ten characters. An owner may set a limit on the invoice total the accounts role or an admin may take off hold. The invoice shows as released by override, and later re-checks never undo it.
The record
Every consequential action (a clearance, a dismissal, an override, a query sent, a settings change) is written to an append-only audit log with who did it, what changed and when. Nobody can edit or delete it, including us; it goes only when you delete the organisation, and a record that the deletion happened is kept.
Much of it shows where it happened: who cleared an invoice and when, who sent a query. For a full copy, write to hello@costcode.co.
